The events industry contributes heavily to carbon emissions and creates large amounts of waste. Just think about the immense amount of travel, paper, and other resources involved in making an event happen. If you are trying to move towards becoming a green company, you can reduce your carbon footprint by starting with your corporate meetings and events and make your corporate event planning sustainable.

Greening your events can be a part of your overall strategy to create a more eco-friendly company culture. It will also set an example for your employees. This allows them to practice more sustainable habits in their daily work routines.

Making eco-friendly choices involves so much more than ditching plastic straws. Every aspect of the event planning must be analyzed in order to maximize sustainability.

Halcyon is an experienced sustainable event planner. We can help you make smart choices in every step of your corporate event planning process. Making that next meeting or event as eco-friendly as possible.

Here are a few sustainable event planning guidelines to get you started:

Cut down on travel

When it comes to events, air travel is the largest contributor to carbon emissions. Go easier on the planet by staying local, hosting your meetings onsite, or going virtual. The technology for virtual events is so sophisticated, you can even host 100% virtual trade shows complete with booths. If you must travel for your corporate event, look into carpooling options and shuttles. This way you can cut down on the number of individual cars at the event. For events with offsite hotels, choose accommodations within walking distance. Always make sure there is plenty of public transportation to get guests between the venue, restaurants, and other activities.

Serve in-season, sustainable food

Even your plate has a carbon footprint. Think of the travel involved in getting your food from farm or factory to your event table. Then remember all the water used to produce the ingredients on your plate. For a greener meal, choosing vegan or at least vegetarian options is the best way to go. Animal products use more water and emit more greenhouse gas emissions than plant-based ingredients.

The Food for Thought campaign offers a directory of vegan caterers to give you some ideas. You can also look to farm-to-table restaurants in your area, and ask your event planner for suggestions.

Go paperless

Reduce the number of handouts at your event, print everything on seed paper, or better yet, go paperless.

Email copies, write the agenda on a smart board or whiteboard. Or send virtual copies of the event programs, and use virtual business card tools for networking purposes.

Say no to water bottles

It’s common practice to set water bottles at each seat when setting up for a meeting. But very few plastic water bottles actually get recycled. Ditch this wasteful habit and serve sparkling water in cans or glass bottles instead! Or use a water dispenser and paper or glass cups. If you are giving out branded products, stick to stainless steel water bottles instead of plastic. That way everyone can walk away from the event with a new, sustainable habit.
